  • Ideally, you’d be compatible with 1pm to 7pm CET working hours (availability isn’t required during these times but compatibility would be great)

  • This is a part-time contractor position, starting at a few hours per week and growing from there

ReferralPie is a productised service that aims to support online business owners & their teams in making managing their affiliate programs as easy as pie so they can reach more people, get more leads, and increase their revenue (without having to do more work). Clients can sign up to our plans, request work they need help with, and we get to work - one task at a time!

Currently, ReferralPie is only a team-of-one (consisting of our founder, Zoe of Zoe Linda) but we are looking to grow the business into an agency model and take on more clients with the help of a growing team. We need the help of an Ops Assistant to switch our systems from solopreneur mode to team mode.

Operations Assistant Role

Our Operations Assistant will play a crucial role in the development of ReferralPie and our team. We’re looking for a super-organiser and systems nerd to work together with our founder, Zoe, to build out our SOPs, project management system, and prepare our business for more clients and more team members as we grow.

We’re looking for someone who has experience in working with an agency or small team for an online business (ideally during the transition process from a team of one), and can help us set-up everything we need to create a strong foundation to build our agency on.

As the ReferralPie team expands, this role will evolve too; our Ops Assistant will be helping to lead the team, manage workloads, and assist with the hiring process.

Your Responsibilities

  • Building a project management system that works for our current setup and growing team.

  • Developing & maintaining detailed SOPs from existing workflows, and creating these as templates in our project management system.

  • Creating team communication systems to ensure clear and effective communication.

  • Establishing efficient onboarding and offboarding processes for both team members and clients.

  • Assisting in the recruitment and onboarding process for new team members and subcontractors.

  • Assisting with building a content marketing system, including the creation of systems and SOPs for consistent content creation, for example.

  • Managing team workloads to ensure no one is overworked or overwhelmed.

  • As the team grows, managing team meetings and handling.

  • Creating an agency-wide inbox & calendar management system that works for our current setup and growing team.

Your Skills & Experience

  • At least a year’s experience working in an online business that offers services and digital products

  • A strong understanding and experience with setting up streamlined automations

  • Experience in building out project management systems (ideally, for growing teams)

  • A good understanding of affiliate programs and referral programs

  • (Ideally) Experience working with agencies & teams

  • (Ideally) Experience working on affiliate programs for clients

Knowledge of the following tools

  • Trello

  • Notion

  • ConvertKit

  • ThriveCart

  • Zapier

  • Squarespace

  • Loom

  • Google Drive

  • Google Mail

  • Zoom

  • Voxer and/or Telegram

  • Slack and/or Discord

It would also be great to have knowledge in the following tools:

  • Other project management tools such as Asana or Todoist

  • MailerLite

  • UberSuggest

  • zcal

  • Whimsical

  • Canva

Your Rate

The budget for this subcontractor role is $30 to $40 USD per hour, depending on experience.

  • You’re a warm & friendly soul but you can have hard conversations with team members when needed.

  • You have strong communication skills, especially when it comes to managing expectations.

  • You always go the extra mile, while maintaining strong boundaries for yourself.

  • You have a keen eye for detail and a habit of checking things through and testing things before finishing a task.

  • You’re comfy with the idea of working on building an agency from the ground up with the founder and seeing how things evolve.

  • You don’t hold back on asking questions when you’re not sure what to do - even if it seems like a ‘stupid question’!

  • You enjoy both diving into systems, processes, and logistics and leading a team of people.

  • You have an understanding and compassion for team members with disabilities and how they work best.

  • You have patience for team members when deadlines are missed and mistakes are made, and a way to get things back on track with grace.

  • You’re more than happy to work in a pro-LGBTQIA+, pro-choice, anti-racist, anti-ableist, and anti-sexist environment.

This Role Is Not For You If:

  • You’re only interested in something short-term. We’re looking for someone who will grow with ReferralPie.

  • You hold back from suggesting new ideas and ways of doing things, even if you’re not sure it’ll work.

  • You’re not proactive - you typically wait for someone to give you tasks before doing anything.

  • You have an extremely set way of doing things and you’re not willing to adapt to build systems & processes that work for a diverse team of people.

  • You want to hustle, hustle, hustle, and you discourage team members from taking breaks when required.

  • You’re not comfy attending or hosting team meetings (video is not required but hosting calls may be from time to time).
